Policies & FYI

BOOKING & PAYMENT A $200 nonreturnable retainer is required to secure your date. Final payment is due 7 days before the event. Events booked within 14 days require full payment at booking. Bookings 7 days or less before the event incur a $75 Rush Fee. GUEST COUNT & CHANGES Final guest count is due 14 days before the event. Pricing will not decrease for fewer attendees. Guest increases or changes to flavors, toppings, florals, décor, signage, or other selections after this deadline are subject to availability and additional fees. SETUP & VENUE Cakewalk requires 60–90 minutes of venue access before service. Client must provide a clean, safe, level, accessible setup area and obtain necessary venue approvals. Required electricity and/or water must be accessible. Delayed access does not extend service time and may affect setup. PRODUCTS, FLORALS & ALLERGIES Ingredients, flowers and specialty items are subject to availability; comparable substitutions may be made. Specific flowers are not guaranteed unless confirmed in writing. Cakewalk cannot guarantee an allergen-free environment. Clients must notify Cakewalk of known allergies and communicate concerns to guests. RENTALS & DAMAGES All carts, Bloom Bars, displays, props, mirrors, backdrops, signage and rental equipment remain Cakewalk property and may not be moved or altered without permission. Client is financially responsible for damage, theft or loss caused by guests, venue staff or vendors. Repair, replacement, cleaning and related costs may apply. CANCELLATION & RESCHEDULING All retainers are nonreturnable. Cancellations more than 30 days before the event forfeit the retainer but release Client from the unpaid balance, excluding custom/event-specific purchases already incurred. Cancellations within 30 days forfeit all payments. One date transfer may be permitted, subject to availability, generally within 12 months. Pricing changes may apply. SERVICE, TRAVEL & LIABILITY Service begins and ends at contracted times. Extensions are subject to availability and fees. Children must be supervised around equipment. Cakewalk is not responsible for circumstances beyond its reasonable control. Travel, parking, tolls, valet, loading or venue fees may apply. PHOTOGRAPHY Cakewalk may photograph displays, products, florals and setups for marketing. Notify us in writing before the event if identifiable guest images should not be used. Payment confirms Client's acceptance of these policies.
